We are looking for a dynamic Executive Assistant and Office Manager for our corporate office in Montréal.

YOUR MISSION

Reporting to the Vice President, Legal Affairs, the selected candidate will perform a wide range of administrative tasks for the executive team and will oversee the management and organization of the Company’s Montréal office in Griffintown. This is a unique opportunity to make your mark on a small, agile team at a growing company!

The position’s specific mandate includes the following duties:

  • Administrative support

  • Provide logistical and organizational support to the executive team (book meeting rooms, schedule visits from potential investors and/or clients, and assist with special projects as needed)
  • Perform administrative tasks, such as answering phone calls, responding to emails, mailing letters and packages, and preparing documents, including office correspondence, reports, internal memos, and presentations
  • Coordinate domestic and international travel, including flight, hotel, and car rental reservations for members of the executive team and the Board of Directors
  • Help produce expense reports for some members of the executive team
  • Translate documents
  • Office management

  • Act as the primary contact for the office’s external suppliers (property owner, housekeeping service, alarm system and entry/exit system, etc.)
  • Make sure the office runs effectively, which involves managing the office space and room availability, meeting schedules, office housekeeping, and equipment maintenance, etc.
  • Purchase office supplies, equipment, and furniture as required

Employment conditions

NMG offers a competitive compensation and benefits package. These details will be discussed with the selected candidates. Based in the Montreal corporate office, the position is part-time, 3 days a week, with the possibility of eventual full-time employment.
